Central Power Distributors simplifies forms creation and reduces costs

Central Power Distributors (CPD), a burgeoning Minnesota lawn and garden engine parts provider, found a way to centralize the printing of forms from multiple locations, and reduce pre-printed form costs by using electronic forms.

 

Logistical challenge

With multiple warehouses to manage, CPD needed a way to print data onto forms in remote locations from a single, centralized system. Stocking preprinted forms and housing specialized printers for the forms in each remote location was impractical and cost prohibitive.


Image is everything

Printing raw data onto blank paper was considered, but that would have looked unprofessional. CPD wanted their bills-of-lading, invoices and statements, all of which end up in the hands of their customers, to project an image that reinforces their world class status.


Cost-effective solution

CPD determined the solution was to design and store forms electronically with Winspool Electronic Forms. Forms are created by merging variable data and form templates to create completed documents. CPD then sends the documents over a Virtual Private Network (VPN) to be printed in the appropriate facility.


Easy to use

CPD designs forms from scratch or creates them by scanning and overlaying pre-existing forms. All data is then automatically merged to mapped locations on the template, creating a final form that can be printed or saves as PDF, PCL or Postscript files.

The software provides functionality that CPD didn’t formerly have, functionality that helps the company project a more professional image to its customers. And it does so without the need for inefficient centralized print operations or the expense of producing, managing and storing preprinted forms.


Future benefits ahead

The company plans to expand their use of the product to easily merge forms and data in a seamless process. That electronic process will allow database fields to automatically sort and collate documents for output, at which time they can be printed – if necessary – onto blank paper, thus saving money and increasing productivity.
