Colony Liquor eliminates document distribution costs

Upstate New York's largest liquor distributor, Colony Liquor, processes up to 2,000 invoices a day. The company saves $1,000 a month in courier costs by distributing the invoices electronically to headquarters for processing.

Logistical challenge

Colony Liquor recently consolidated three regional customer service departments into one at their headquarters. While the move enhanced operational efficiencies, it introduced a potential new cost.

State law requires liquor delivery trucks to carry copies of invoices for the products they're shipping. The invoices must be signed by the customer upon shipment receipt and returned to customer service for processing.

Documents drivers formerly hand delivered to regional customer service departments would cost $1,000 a month to courier overnight to the central office.

Speedy, low-cost delivery achieved with WebDocs

Colony Liquor was convinced that a fast, affordable courier alternative could be found. They evaluated and quickly eliminated fee- and PC-server-based document management systems in favor of WebDocs.

Streamlined systems enhance service

In addition to eliminating courier costs, WebDocs delivers prompt access to customer-signed invoices, which has enhanced customer service efficiencies and customer satisfaction.

Features add value

WebDocs also stores document images, files and reports that authorized personnel can access from anywhere in the world over the Internet, and simplifies data backup procedures.

"A single project justified WebDocs, a program with 1,001 more possibilities for our company. WebDocs could one day make us paperless," says Peter Coliukos, director of Information Technology, Colony Liquor.
