De La Rue Lower Costs with Electronic Forms

De La Rue Cash Systems, a Wisconsin-based manufacturer of currency counters and coin sorters, produces a wide variety of paper forms and documents. Recently, the company improved their bottom line and the efficiency of their operation by replacing costly paper forms with electronic forms.


Integration issues

A few years ago, De La Rue implemented a new ERP system which used a large, costly printer to output documents onto preprinted forms such as invoices, bills-of-lading, packing slips and checks. Because of technical issues, printing these forms on remote or less expensive printers proved impractical, so De La Rue was stuck using their costly behemoth.


Paper costs pile up

To make matters worse, De La Rue found that the cost and time involved in loading, printing and distributing documents on preprinted forms – not to mention the cost of the forms in the first place – was considerable. And, of course, all of those forms had to be stored and managed before they were used to produce the end documents.


Low cost solution delivered with electronic forms

 After reviewing a number of options, De La Rue found that it made much more sense to store document templates electronically and then print them and the variable data in a single process.


Flexibility is key

WinSpool Electronic Forms allows De La Rue to design forms from scratch or create forms by scanning and overlaying pre-existing forms. All necessary data could then be automatically merged, and reports printed or saved as PDF, PCL or Postscript files.


Less paper = cost savings

In addition to eliminating more than ten preprinted forms, and the associated costs of printing, storing and managing them, De La Rue was able to replace its old, high-end, high-cost printer with less expensive printers. Documents are distributed to the new printers electronically, with the forms and data merged and printed onto blank paper rather than costly preprinted forms.


Easy to use

De La Rue examined other forms packages before realizing that WinSpool Electronic Forms was much easier to use than other products. The purchase decision then became clear. “Once I saw it and how easy it is to use … it was a no-brainer,” said senior programmer Matt Keever.
