IEERB Provides Easy, Fast and Cost-Effective Document Research
The Indiana Education Employment Relations Board (IEERB) maintains a large collection of documents that are used for researching and resolving state education employment relations issues. Recently, IEERB decided to digitize those documents and make them available online using WebDocs.
Bogged down by paper
IEERB used to maintain documents primarily in paper form. Researching a topic often required going back and forth between large filing cabinets filled with books of documents to assemble the needed information.
Slow customer response time
Considerable manual labor was employed to find the documents required to answer reference or research questions. Retrieved documents had to be copied and mailed or faxed to the requestor, adding more labor and hard-dollar costs. In addition, if the search yielded the wrong information, the whole manual process started all over again.
A simple solution
IEERB uses WebDocs to give users direct, online access to the information they need. The system allows the Board to electronically store and manage document images, PC files, emails and computer-generated reports. Existing documents are scanned and indexed, while electronic files are loaded directly into the system. Once indexed, files are easy for authorized personnel to access using a standard Web browser.
Flexible and customizable
With the help of some customization, WebDocs now indexes the full text of IEERB documents. In addition to finding documents based on specific variables, such as the document type or school corporation, users can also search for documents that contain particular words, phrases or combinations of words or phrases.

For end users, who include legislators, teachers and members of the public, the retrieval of education labor relations documents is now faster and simpler. With electronic documents that are accessible online and searchable using either key field or full-text searches, users can easily download, save and email the information they require themselves. Consequently, IEERB has shaved 80% off the cost of fulfilling information requests.
