Sons of Norway decreases costs, improves service with WebDocs
Minneapolis-based Sons of Norway is a fraternal society dedicated to preserving and promoting Norwegian heritage. The company, which has nearly 70,000 members in the United States, Canada and Norway, also provides a variety of insurance and financial services.
The paper challenge
Insurance is a business burdened by paper. To reduce its paper-related costs, Sons of Norway transferred many of its documents and forms to microfilm, but this solved only one part of the problem. Microfilm was still expensive and it was neither much easier to manage nor faster to access and distribute than paper.
Versioning issues
Sons of Norway sells insurance policies in almost every U.S. state. Each state has different insurance laws and requires different language, inclusions and exclusions in policies. Consequently, different versions have to be assembled and distributed, creating an administrative burden.
WebDocs to the rescue
WebDocs allows paper docuements to be scanned, indexed and stored electronically. Other electronic files, such as policy pages and annual statements, are automatically stored in WebDocs as they’re created. Now, rather than having to hunt down paper or microfilm, authorized employees can immediately view all of the documents associated with a policy.
Packet printing solution
Sons of Norway uses RJS’ Packet Print utility to print and/or create document packets that have variable content requirements. When a new insurance policy is sold, the utility assembles all of the policy pages required for the policyholder’s state into a single PDF document, which can be printed, distributed to the policy holder or stored electronically.
Decreased costs, improved service
Storing documents electronically rather than physically significantly reduced paper-related costs. Documents that used to be printed solely for internal filing are no longer printed at all. Electronic document management has also accelerated customer service and reduced the labor costs involved in providing it.
In addition, the use of the RJS Packet Print utility has streamlined the company’s policy production process, resulting in faster policy turnaround times for customers.
